How to Write a Professional Bio: What Is a Professional Biography?
A professional biography is a short but informative note containing the most important details about you, your work and your achievements. A bio is useful in many situations – from social media and industry publications to websites. How can you write a bio that is professional, persuasive and effective?
What is a bio?
A professional biography, or bio for short, is a brief note containing the most important information about you and your work.
The purpose of a biography is to introduce you in a few words or sentences. It is your calling card online, helping you reach potential clients.
A good bio should be clear, specific and suited to the context in which it will be used. Depending on your needs, it can vary in style, format and length.
Where can you use a bio?
A biography can serve many purposes. Here are the most common places to publish one:
- social media – LinkedIn, Instagram, X/Twitter, Facebook and Pinterest;
- websites – an ‘About me’ page, blog or portfolio;
- CVs and cover letters – as a brief professional summary;
- publications and articles – author biographies in magazines and industry websites;
- conferences and webinars – as an introduction to a speaker.
What should a bio include?
Although biographies can take many forms, they usually contain several key elements:
- full name – an essential detail that allows readers to identify you quickly;
- photograph – a professional, up-to-date photo builds trust and recognition;
- professional description – a few sentences about you and your work;
- contact details – an email address, telephone number and, if relevant, your business address;
- links – for example, to your portfolio, website or social media profiles;
- hashtags and keywords (optional) – if your bio is used on social media, adding a few relevant phrases can improve your profile’s visibility.
How long should a bio be?
The length of your biography should suit the place where it will be published. You can prepare three versions:
- short bio (up to 150 characters including spaces) – most often used on social media platforms such as Instagram, X, Pinterest and Facebook. Include your full name, current role, professional goal and greatest achievement in a concise format;
- medium-length bio (around 300–500 characters including spaces) – works well on LinkedIn, at conferences and in industry publications. This description is more like a CV. Include your full name, current role, company or personal brand, ambitions and goals, greatest achievements and the quality that sets you apart;
- long bio (1,000–2,500 characters including spaces) – you can use its full potential on your website’s ‘About me’ page. It may include a detailed career history, professional mission and the values that guide you. What you include is up to you, as there is usually no strict character limit.
How to write a bio
A good bio is more than just a list of facts about you. It is your calling card and can open the door to new opportunities, clients, employment or greater recognition. The key is not only the content, but also how you present it.
To create an effective biography, follow these key principles:
- start with the most important information – the opening sentences should immediately explain who you are and what you do. Mention relevant education, courses and experience;
- highlight what makes you different – do not limit yourself to your job title. Mention the unique skills, achievements or specialisms that distinguish you from others;
- describe your goals, ambitions and aspirations – explain what matters to you, where you see yourself in a few years and what you want to achieve;
- adapt the length to your audience – brevity matters on Instagram, while LinkedIn gives you room for several sentences and a website allows you to tell your story in more detail;
- add contact details and important links – if your bio is intended to support collaboration, include an email address, telephone number, website or social media links;
- write in the first or third person singular, depending on the nature of the biography. On social media, introduce yourself in the first person (I’m a marketing strategist…). For press notes or author biographies, you can use the third person (Emily Smith is a marketing strategist…);
- keep it easy to read – nobody enjoys reading long blocks of text. Short sentences, paragraphs and bullet points make a bio easier to digest;
- show your personal side – people are more likely to connect with someone who seems authentic. Mention your hobbies, interests or how you spend your free time. This will make your bio more engaging and memorable.
It is also useful to have one universal version of your bio that you can adapt to different platforms and audiences. This will help you maintain a consistent message.
