How to Write a Thank-You Note: Practical Tips
Table of content

There are many ways to express gratitude for someone’s kindness. One of the best is to prepare and send a written thank-you note. A short letter or note, whether on paper or in digital form, is a particularly thoughtful gesture towards another person. But how should you write one? What should you bear in mind when creating it?

What is a thank-you note?

A thank-you note is a form of communication used to express gratitude to the recipient. It may be formal, semi-formal or informal.

These messages are written on a wide range of occasions and for many different reasons. They are also addressed to different recipients. With a well-prepared note, for example, we can thank an employer or teacher for their support and kindness, express our gratitude to a business partner for a productive collaboration, or show appreciation for a gift received from someone close to us.

Written thank-you messages most often take the form of:

  • a letter or text message;
  • a greetings card;
  • a concise note.

You can send your thanks by post, email or messaging app. In some situations, however, the best option is to hand over the prepared note in person.

The structure of a thank-you note

A written thank-you note usually consists of several elements. These are:

  • place and date – in a formal letter, these are generally placed at the top;
  • the sender’s details – usually shown in the letterhead or at the top of the page;
  • the recipient’s details – included in a formal letter below the sender’s details;
  • the salutation – its wording depends on the relationship between the writer and recipient; in formal correspondence, suitable options include Dear Sir or Madam or Dear Ms Smith; in other situations, you might write Dear Mum or Dear Tom; sometimes a thank-you message can begin with the person’s first name alone, such as Jack, Tara or Anne;
  • the body of the thank-you note – placed directly after the salutation; the message usually begins by expressing gratitude and then explains its reason, for example, I would like to express my gratitude for supporting me through a difficult time or Thank you very much for the lovely gift; the note may consist of one or several sentences, but they should not be too long;
  • the complimentary close – in formal notes, options include Yours sincerely or Yours faithfully; in semi-formal and private messages, you might use Best wishes or Kind regards;
  • a handwritten signature – placed below the complimentary close.

These elements are particularly important in formal thank-you letters. In semi-formal and private notes, you can leave out some of them, such as the place and date or the sender’s and recipient’s details.

Writing thank-you notes in practice

Before you start writing a thank-you note, you need to consider several important issues. The main ones include:

  • personalisation – adapt the style, language and format of the message to the recipient and the occasion; avoid using formulaic phrases copied from the internet;
  • brevity and substance – shorter thank-you notes containing clear, specific details are generally more appreciated by recipients;
  • sincerity and timeliness – use clear and easy-to-understand language; a written thank-you should reach the recipient within a week of the relevant event, such as receiving a gift or being given a favour;
  • language accuracy – a thank-you note should not contain typos, spelling, punctuation, factual or grammatical errors.

It is also worth remembering that, in English, you do not need to capitalise direct forms of address such as you, your or to you. They are normally written in lower case.

In British English, the salutation is usually not followed by a comma in a formal letter. The next sentence therefore begins with a capital letter, for example, Dear James

Thank you very much for all the years we have spent working together…. The same applies to a salutation followed by a full stop or an exclamation mark, for example, Dear Professor Smith.

I would like to express my sincere gratitude for your feedback and suggestions….

Thank-you notes – useful phrases

As mentioned above, the content of a thank-you note must be adapted both to the recipient and to the relationship between the writer and recipient, as well as to the occasion. A message to an employer, business partner or colleague will therefore look different from one addressed to a family member or friend.

Formal thank-you notes

Formal thank-you notes might include phrases such as:

  • We are sincerely grateful for your assistance;
  • We appreciate your kindness more than words can express;
  • Your commitment has had a positive impact on my life and my family’s. Thank you from the bottom of my heart;
  • Thank you very much for your valuable contribution to and support of this initiative…;
  • Thank you for your outstanding commitment to and dedication to the project.
